How users and authorized clients can request deletion of eligible data.

This page explains how users, clients, and authorized business representatives can request deletion of eligible data processed by Microchips through our website, software systems, PMS modules, communication tools, and WhatsApp Business Platform integration.

Microchips provides software and integration services to business clients. In many cases, the business client controls the data stored in the system, and Microchips processes the data on behalf of that client.

1. How to Request Data Deletion

To request deletion of eligible data, please send a deletion request by email.

2. Information to Include in Your Request

To help us identify and process the request, please include the following information:

  • Your full name.
  • Your email address.
  • Your phone number, if relevant.
  • Business or clinic name, if the request relates to a client system.
  • A clear description of the data you want deleted.
  • The system, service, or integration related to the request.
  • If the request relates to WhatsApp integration, include the WhatsApp business phone number or WhatsApp Business Account ID if available.

3. WhatsApp Business Platform Data

If a client uses our WhatsApp Business Platform integration, we may process WhatsApp-related data required to operate the integration. This may include message logs, message IDs, recipient phone numbers, templates, webhook events, delivery statuses, campaign records, media references, and diagnostic logs.

Deletion requests related to WhatsApp integration data should clearly mention that the request relates to WhatsApp Business Platform data.

4. Verification

Before deleting data, we may need to verify the identity and authority of the requester. This helps protect client systems and prevent unauthorized deletion of business, patient, customer, employee, or integration data.

If the data is controlled by one of our business clients, we may refer the request to the authorized administrator or official representative of that client.

5. What Data Can Be Deleted

Eligible data may include personal information, contact details, integration records, WhatsApp-related records, support records, or other information that is no longer required, subject to verification and applicable obligations.

Some data may not be immediately deleted where retention is required for legal, regulatory, contractual, audit, security, billing, dispute resolution, backup, or legitimate business purposes.

6. Backup and Log Retention

Deleted data may remain temporarily in backups, logs, or archived records until those records are overwritten or deleted according to our normal retention procedures.

Where possible, we will restrict further active processing of deleted data unless retention is required for legal, security, or operational reasons.

7. Processing Time

We will review deletion requests within a reasonable period after receiving the required information and completing verification. Processing time may vary depending on the nature of the request, the system involved, the client approval process, and applicable legal or contractual requirements.

8. Client-Controlled Data

For PMS, clinic, HR, accounting, or other business systems, the client organization may be the data controller. In such cases, Microchips may require confirmation from the authorized client administrator before deleting data from the system.

Patients, employees, customers, or other end users may also contact the relevant clinic, company, or business directly if their data was entered into a Microchips-powered system by that business.
